Your CV only goes to an employer after we've talked the role through with you and you've said yes.
About this notice
This notice explains how The Resource Group Limited, trading as TRG GTM, handles the personal data of people we consider for roles: people who register with us, apply for a job, or whom we contact about an opportunity. It adds detail to our general privacy notice. We are the data controller. Contact us at info@trggtm.com.
Our service is always free for candidates. We never send your CV to an employer without discussing the role with you and getting your agreement first.
What we collect
- Identity and contact details: name, email address, phone number, location and LinkedIn profile.
- Career information: your CV, current and previous roles, skills, qualifications, the specialisms, markets and locations you are interested in, quota and attainment history you share with us, salary and package expectations, notice period and availability.
- Right to work: whether you have the right to work in the UK or the US, or would need visa sponsorship. If an employer later needs to check documents, this is done as part of their own hiring process.
- Our notes: notes from conversations and interviews, feedback from employers you are introduced to, and the roles we have discussed with you.
We do not ask for special category data (such as health, ethnicity or religion). If you tell us about a disability so that an employer can make adjustments to its process, we use that only for that purpose and with your agreement.
Where it comes from
- From you: when you register your CV, apply for a role, set up a job alert or talk to one of our consultants.
- From public professional sources: we may find your professional profile on networks such as LinkedIn, on industry publications or on your employer's website when we search for people with particular experience. If we collect your data this way, we will tell you within one month, usually the first time we contact you, and point you to this notice.
- From referrals: someone may recommend you to us. We will tell you who, if you ask.
- From employers: feedback after interviews you take part in.
How we use it
- To find and suggest roles that match your experience and what you are looking for.
- To introduce you to employers, with your agreement for each role, and to arrange and follow up interviews.
- To send you job alerts and our newsletter, if you have asked for them.
- To keep records we must hold by law, such as those required by the Conduct of Employment Agencies and Employment Businesses Regulations 2003.
Our lawful bases are our legitimate interests in running a recruitment service for people who want our help, taking steps at your request before a contract, your consent where we ask for it (for example before sending your details to a particular employer, and for job alerts and the newsletter), and our legal obligations.
AI Talent Pro and automated tools
Candidate records and applications are held in AI Talent Pro, our own recruitment platform. It helps our consultants search our candidate records and compare experience against the requirements of a role. A consultant always reviews candidates and decides who to contact and who to put forward; we do not make decisions about you based solely on automated processing.
Who sees your data
- Our consultants, who work only in go-to-market recruitment for software and technology companies.
- Employers you have agreed to be introduced to, for the role we discussed with you.
- Our service providers: Supabase (secure database and private CV storage, EU/London region), AI Talent Pro (our recruitment platform), Brevo (email), and Vercel (website hosting). Each acts only on our instructions.
- Others where the law requires it, for example a regulator or court.
Some providers may process data outside the UK, including in the US. When they do, we rely on UK adequacy regulations or approved contractual safeguards, as described in our privacy notice.
How long we keep it
We keep candidate records for 2 years after our last contact with you, then delete them. Contact includes conversations, applications and replies to our emails. If we place you in a role, we keep the records the law requires for as long as it requires. You can ask us to delete your details sooner at any time.
Your rights
You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to how we use it, to move it to another provider, or to stop contacting you. You can withdraw consent at any time. Email info@trggtm.com and we will respond within one month.
If you are in the US, you can ask us what personal information we hold about you, and ask us to correct or delete it, in the same way. We do not sell candidates' personal information.
If you are unhappy with how we have handled your data, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
